AI automation checklist for SMEs

Use this before you buy tools or start pilots: align on one workflow, clean the data path, automate deterministic steps, then layer AI with human review and clear metrics.

This checklist matches how GraminIO talks with teams in India and abroad: clarity first, integration second, AI third. Save or share it with finance, ops, and IT so everyone uses the same language in the next meeting.

1 — Pick one workflow

  • Name the bottleneck in plain language (e.g., “quote approvals take 4+ days”).
  • Agree the single metric you will improve first (cycle time, rework %, DSO, etc.).
  • Confirm the owner who can change process rules—not only IT.

2 — Data & systems readiness

  • List systems of record for customers, projects, and finance; note duplicate entry points.
  • Fix obvious field gaps (stage names, SKUs, tax codes) before adding AI on top.
  • Decide export and backup expectations so you are not locked in.

3 — Automation before “magic”

  • Encode deterministic steps: notifications, approvals, hand-offs, templates.
  • Integrate CRM ↔ delivery ↔ billing so facts are entered once.
  • Only then add AI for fuzzy work: classification, summarization, anomaly surfacing.

4 — Governance & trust

  • Define who reviews model output before money or customers are affected.
  • Log corrections so accuracy improves; schedule weekly accuracy reviews during pilots.
  • Document data residency, retention, and subprocessors for procurement.

5 — Vendor / build decision

  • Ask: what manual step disappears in 30 days, and how is success measured?
  • Compare platform path (e.g., The 360° OS by GraminIO + Finworkbook) vs one-off scripts.
  • Book a walkthrough only after the checklist above is draft-complete.
